
5 Powerful New Features for Automatically Generated Invoices: Transparent Calculations and Smarter Real Estate Management
The past few months have been incredibly busy as we’ve been working hard to bring you new features and improvements based on feedback from our valued users. We’re excited to announce that these updates are now live, and they’re designed to make your real estate management tasks even simpler, more efficient, and more transparent.

1. Detailed Report for Automatically Generated Utility Invoices
If you missed it, then know that Proforio allows you to generate utility invoices automatically based on predefined rules. So say goodbye to manual calculations!
We already have a simulator that lets you test your rules before launching them. This ensures accuracy and gives you peace of mind.
And now we have introduced a new feature - report of already automatically generated invoices.
Once invoices are generated, landlords can now see a detailed, step-by-step overview of how each invoice was created. This includes a breakdown of every position, showing the quantity and price per item. No more guesswork—just complete transparency.

2. Customizable Invoice Entry Sequence
We understand that every property and landlord has unique needs. That’s why we’ve added the ability to define the sequence of entries in your invoices. Whether it’s invoice for rent or utilities, you can now customize the order to match your preferences. You can adjust the sequence at any time.
3. Define Entries for Incoming Invoices
Some specific cases require additional logic to achieve more easier work with automation. Thus you can now define entries for incoming invoices, giving you the flexibility to:
- Assign custom names to entries, for example "Insurance".
- Link entries directly to a particular Property or Entity.
This feature allows to use specific incoming invoice's entry data when defining automation rules.
4. Advanced Filtering and Calculations for Utility Invoice Entries
That leads us to the next new feature. Now, when specifying utility invoice's entry rules, you can:
- Filter by the contract number of incoming invoices.
- Search for specific entries by name, property or entity.
- Perform additional calculations, such as dividing or multiplying amount for the entry found.
This level of detail and control ensures that your utility invoices are accurate and tailored to your specific needs. Filtering incoming invoices by contract number is optional of course, but if your utility provider can issue multiple different kind of invoices in the same period, then this way you can be sure that the calculations will be made using the correct incoming invoice.
Search for specific entry works for all type of rules that is related to incoming invoices - using incoming invoice's sum or quantity. Additional calculations allows to correct the result. This is handy for example when incoming invoices contains one entry like "Insurance" that is applied to all or some part of Entities. You can use that value but split it accordingly.
5. Introducing the File Manager
Property management often involves handling a variety of files, from images to documents. One of the feedbacks we received was that our customer used a different cloud solution to store these files. Altough Proforio already allowed to upload images or contract related files, they were linked to particular objects like meters, properties or inventory. So we though why shouldn't we offer a cloud storage to our customers?
Our new File Manager allows you to:
- Store files securely in the cloud.
- Access object-related files more easily using one interface.
- All managers that has has been granted access to Landlord's account, can also access these files.
This centralized file management system ensures that all your important documents are just a click away - available for you anywhere.

Enhancements to Existing Features
There are some changes made for invoice number template's dynamic variable format. For example, instead of $MONTH
, you’ll now use [$MONTH]
. This change has already been applied to all existing contracts using custom templates. So no action from you is required.
